Recruiterflow, an ATS and CRM built for recruiting agencies, is worth a demo for a US search firm of 3 to 10 seats that wins clients through outreach. Its Platform Plan puts the ATS, CRM, sequences and sales automation on one seat. Skip it if you need a free trial or a cheap solo seat.

Recruiterflow Review: Quick Verdict for Recruiting Agencies
Book the demo if your agency sells searches to clients and runs outreach in sequences.
| Question | Verdict |
|---|---|
| Best for | US search firms and agencies of 3 to 10 seats that do their own client business development |
| Skip if | You want a free trial before a sales call, or AI agents at a published price |
| Starting price | $119 per user per month on the Annually view; $149 per user per month on Monthly |
| Practical plan | Platform Plan; the AIRA Plan only for AI agents and LinkedIn message sync |
| Main strength | Sales automation and multichannel sequences on the published base plan |
| Main limitation | Recruiterflow’s homepage leads with AI agents, which the pricing page puts on the quote-only AIRA Plan |
| Best alternative | Loxo Core, if you want natural-language AI search on a published plan |

Recruiterflow’s homepage dates “agentic orchestration” to 2026, yet every AIRA agent on the pricing page belongs to the quote-only AIRA Plan. A buyer budgeting from the website is budgeting for Platform, so the question is which jobs that base seat carries.
What Recruiterflow Does Well, Job by Job
The Platform Plan carries four agency jobs on one seat: client development, the candidate pipeline, outreach, and reporting with integrations.
| Job | What the Platform Plan includes | What needs the AIRA Plan |
|---|---|---|
| Client development | ATS and CRM, Sales Automation, Client and Team Access Control | AIRA Job Change Alerts |
| Candidate pipeline | LinkedIn imports, Chrome sourcing, branded careers page, unlimited jobs and candidates | Phone & Email Finder, AIRA Matchmaker |
| Outreach | Multichannel Sequences, Recruitment Automation; email, calls and text synced | LinkedIn added to the synced channels |
| Reporting and integration | Reports, Recruiterflow BI, API Access | Custom BI Dashboards |

The client-development row separates Recruiterflow from a candidate-only ATS. My recruiting CRM ranking puts it first because sales automation and sequences come with the base seat.
Client Development and Sales Automation
Yes, Recruiterflow runs business development as well as candidates. The pricing FAQ says both plans include the “full-featured core ATS + CRM platform”, and Sales Automation is listed on Platform.
The CRM page describes what that CRM handles for an agency:
- deal pipelines with custom stages, each given a probability to close
- parent and subsidiary companies tracked separately, with data rolled up to the parent profile
- one person as both candidate and client, with communications shown on both profiles
- a client portal where you decide which contact details clients see
- custom roles with granular, field-level access control
For a retained or contingent search firm, that puts fee forecasting on the same records recruiters source into.
Sourcing, the Chrome Extension and the Candidate Pipeline
Candidates enter Recruiterflow through LinkedIn imports, bulk sourcing with the Chrome extension, Excel or CSV import, and a branded careers page. Each stage move is recorded: the API’s stage-movement endpoint returns which stage a candidate left, which they entered, when, and who moved them.
The help center gives the Chrome extension its own section of 13 articles. AIRA Search, which the integrations page calls natural language search, and AIRA Source, which it says searches 850M+ profiles, appear under neither plan on the pricing page. For a desk that sources outside LinkedIn, that placement is a demo question, not a detail.
Multichannel Sequences and Workflow Automation
Yes, Platform automates outreach and admin without another tool: it includes Multichannel Sequences, Recruitment Automation and Sales Automation, with multi-channel triggers and templates. The help center’s Sequences section holds 44 articles, including a reference of sequence step types.
The condition sits in the plan comparison. Email, calls and text are synced on Platform, while LinkedIn joins the synced channels only in the AIRA column. A desk that works candidates through LinkedIn messages should check which LinkedIn activity Platform records before committing.
Reporting, Integrations and the API
Platform includes Reports and Recruiterflow BI dashboards; Custom BI Dashboards are an AIRA feature. API Access is on Platform too, with requests authenticated by an RF-Api-Key header.
The help center’s API section covers custom sites, webhooks and Zapier. Zapier is how an agency without a developer gets what an API does: records moving between tools without retyping.
The integrations directory lists partners such as 3CX and Aircall for calling and Arrange for interview scheduling, but prints no total.
Where Recruiterflow Falls Short
Recruiterflow’s weak points are mostly gates and costs, and each one hurts a specific buyer:
- No published trial. Every plan button leads to a demo, which hurts small firms that want to test sequences on their own data.
- The AI is priced by quote. This hurts agencies that want the AIRA agents in their first-year budget, since only a demo gives that price.
- LinkedIn message sync needs AIRA. LinkedIn-heavy desks pay an unpublished price for the channel they use most.
- Switching costs time or money. White-glove migration is paid; the free path is self-serve CSV import. Agencies leaving Bullhorn with years of placements feel this most.
- No integration count. Teams that rely on niche job boards must ask for each one.
Three of those limits are plan or cost gates, so the next question is the bill itself.
Recruiterflow Pricing: What a 3-, 5- or 10-Person Agency Pays
Recruiterflow’s Platform Plan costs $119 per user per month on the Annually view and $149 on the Monthly view (checked October 2026). A 5-person agency pays $119 x 5 x 12 = $7,140 a year on annual billing, or $149 x 5 x 12 = $8,940 paying monthly. AIRA has no published price.

| Team size | Annually view, per year | Monthly view, per year | Monthly bill on the Monthly view | Extra for paying monthly, per year |
|---|---|---|---|---|
| 3 seats | $119 x 3 x 12 = $4,284 | $149 x 3 x 12 = $5,364 | $149 x 3 = $447 | $5,364 – $4,284 = $1,080 |
| 5 seats | $119 x 5 x 12 = $7,140 | $149 x 5 x 12 = $8,940 | $149 x 5 = $745 | $8,940 – $7,140 = $1,800 |
| 10 seats | $119 x 10 x 12 = $14,280 | $149 x 10 x 12 = $17,880 | $149 x 10 = $1,490 | $17,880 – $14,280 = $3,600 |

Paying monthly adds $149 – $119 = $30 per seat each month, or $360 per seat per year, for the same features. Take the Annually price once the demo confirms Platform covers your desk. The currency selector offers USD, EUR and GBP; keep it on USD.

Seats are only part of year one. To turn these totals into a multi-year budget with migration and training, run them through the CRM cost calculator.
Platform vs AIRA: The Features That Force an Upgrade
LinkedIn message sync, AI note-taking, contact finding, job change alerts, the AIRA agents and custom BI dashboards all require the AIRA Plan, which is sold by quote.
| Need | Platform Plan | AIRA Plan |
|---|---|---|
| ATS, CRM, sequences, automation, reports, API | Included | Included |
| Synced channels | Email, calls, text | Adds LinkedIn (Omnichannel Communication Sync) |
| Call and meeting summaries | Not listed | AIRA Notetaker |
| Verified emails and phone numbers | Not listed | Phone & Email Finder |
| Client job-change signals | Not listed | AIRA Job Change Alerts |
| AI agents | Not listed | Matchmaker, Field Updates, Submission and Task agents |
| Dashboards | Reports, Recruiterflow BI | Adds Custom BI Dashboards |
| Price | Published per seat | Custom pricing, by demo |

The deciding condition is how your desk works. One that lives in LinkedIn messages or wants AI call notes needs AIRA, and its budget becomes whatever the quote says. The pricing FAQ adds one protection: on AIRA, all current and future AIRA agents come at no extra cost.

Migration and Other Costs Outside the Seat Price
Recruiterflow sells no add-ons, according to its pricing FAQ, so the seat price is the whole Platform bill. The costs outside it are migration and, if you need it, the AIRA quote.
Self-serve Excel or CSV import is free. White-glove migration is paid, priced by data volume and typically completed in 6 to 8 weeks; a fee waiver is open to discussion on multi-year contracts.
A switch that long likely means paying for your old system and Recruiterflow at once. Set the cutover date with a guide on how to plan a CRM migration.
Is Recruiterflow Legit and Secure?
Yes. Recruiterflow’s homepage states SOC 2, ISO 27001 and GDPR compliance, role-based permissions, SLA-backed support and dedicated implementation. Its CRM page says customers own their data and can export it through the API whenever they want.
The help center adds admin-only security and data controls, including domain blocking and data export permissions. Recruiterflow says more than 2,100 search firms use it, according to its pricing page.
An agency holding candidate data under GDPR should ask for the SOC 2 report and the Data Processing Agreement that Recruiterflow links in its site footer.
Who Should Use Recruiterflow and Who Should Skip It
Use Recruiterflow if you run an executive search or contingency agency of 3 to 10 seats that sells to clients and works candidates through sequences. Deal stages with close probability serve the search firm; sequences on the Platform seat serve the outreach-heavy contingency desk.
Skip it if you are:
- a solo recruiter who wants to self-test, since there is no published trial and one seat costs $119 x 12 = $1,428 a year on the Annually view
- an in-house talent team, since the Platform Plan is “Created for search firms requiring an end-to-end solution”
- a desk that needs AIRA Matchmaker or the other AIRA agents priced before the first call, since the AIRA Plan is quote-only
On the skip side, or for a fair comparison, price the rivals agencies weigh against it.
Recruiterflow Alternatives Agencies Compare
Price three rivals before signing. Loxo Core fits AI search on the base seat, and Recruit CRM fits a 30-day trial, detailed in my Recruit CRM review. A firm that sells searches needs a Bullhorn Pro quote; Starter and Core prices suit candidate-only desks.
| Tool | Entry price, vendor’s basis | Trial | Sequences | Pick it if |
|---|---|---|---|---|
| Recruiterflow Platform | $119 per user/ | Demo only | Included on Platform | You want sales automation and sequences on one seat |
| Loxo Core | Starts at $149 per user/ | 7-day trial of Professional, no credit card | Not in Core’s plan list | AI search on the base plan matters more than sequences |
| Bullhorn Starter / Core | $99 / $165 per user/ | Talk to sales | Multi-step AI outreach listed on Bullhorn Max | You want free implementation and a 300+ partner marketplace on Core |
| Recruit CRM | US per-user price not confirmed (Pro, Business and Enterprise plans) | 30-day free trial | Multichannel sequences on Business | You want to trial first and accept credit-metered AI |

At five seats on annual billing, Loxo Core starts at $149 x 5 x 12 = $8,940 a year paid up front, against $7,140 for Recruiterflow Platform. Loxo prints “New customer limited time offer” under Core, so ask whether that price holds at renewal, and my Loxo review covers Core costs by seat count.
Core adds free migration for teams of 3+ seats, while its multi-channel sequences come from an agent in the Professional plan. With natural-language AI search on its base plan and that free migration, Loxo Core is my pick for a buyer who wants AI search on a published plan.
Bullhorn’s Recruitment CRM (sales pipeline) first appears on Bullhorn Pro, a talk-to-sales plan. A firm that sells searches should compare Recruiterflow with a Bullhorn Pro quote, not with Starter, with Bullhorn’s pricing showing how the editions differ.
Recruit CRM is the rival to trial before any demo. Its AI sourcing, data enrichment, workflow automation and LinkedIn messaging sync consume pooled credits. For solo and in-house cases, my ranking of recruiting CRMs by team type has better-fitting picks.
Final Verdict: What to Ask in the Recruiterflow Demo
Book the Recruiterflow demo if you run a search firm of 3 to 10 seats that sells to clients and works in sequences. To test sequences before any demo, trial Recruit CRM: it lists multichannel sequences on Business and a 30-day free trial. If AI search on a published plan matters more, price Loxo Core.
Confirm these before signing:
- The AIRA quote per seat, in writing.
- Whether AIRA Search and AIRA Source are available on Platform.
- Contract length, any seat minimum and payment terms, which the pricing page does not state.
- The migration fee for your data volume, and whether a multi-year contract waives it.
- Which LinkedIn activity Platform syncs.
- A live run of one of your own sequences and one open job.
- What dedicated implementation and Recruiterflow Academy cover during setup.
Recruiterflow FAQ
Does Recruiterflow have a mobile app?
Yes. The Recruiterflow help center has a Recruiterflow App section for recruiters who want to work on the go. The pricing page does not list the app as a plan feature.
Ask in the demo which actions work from a phone, such as moving a candidate.
Can Recruiterflow connect to AI assistants?
Yes. The help center has a Recruiterflow MCP section on connecting Recruiterflow to AI assistants using MCP, including setup and what the connection can do. The pricing page ties MCP to neither plan, so confirm Platform access during the demo.
