For a team that sells a deal and then delivers it as a project, Insightly CRM fits better than HubSpot Sales Hub. Won opportunities convert to projects on every Insightly plan, and Insightly Professional costs $49 per user per month, billed annually.
HubSpot Sales Hub fits teams whose revenue runs on sequences, calling and forecasting. Sales Hub Professional costs $90 per seat per month on annual billing, plus a required one-time $1,500 Professional Onboarding fee.
Insightly also adds $1,500 onboarding, and its add-on table labels Premier support and success required, yet its FAQ calls Premier an upgrade. Without Premier, Insightly Professional costs less in year one at 5 and 10 seats. With Premier’s $3,000 annual minimum, HubSpot billed annually costs less at 5 seats, and Insightly still costs less at 10.
Quick verdict
The deciding difference in HubSpot vs Insightly: Insightly runs delivery inside the CRM, while HubSpot Sales Hub runs outbound selling.
Pick Insightly CRM if you deliver projects after the sale and want full workflow automation at $49 a seat on Professional, billed annually, and can do without sequences.
Pick HubSpot Sales Hub if reps live in sequences and calls and managers need forecasting. Professional is $90 a seat billed annually ($100 on monthly billing), and Sales Hub lists no project tool.
With $1,500 onboarding on both sides, HubSpot’s seat costs $41 more per month ($90 minus $49). If Insightly’s Premier support applies, its $3,000 annual minimum makes HubSpot, billed annually, cheaper in year one at 5 seats but not at 10; get Insightly’s quote in writing.

Key Differences Between HubSpot and Insightly
Beyond project delivery, the two split on how each vendor turns seats into a bill.
- How seats are sold: HubSpot sells Starter through Core Seats and Professional through Sales Seats, with free View-only Seats. Insightly prices each user per plan and each app (Marketing, AppConnect) separately.
- How you pay: HubSpot Starter can be paid month to month; Professional commits annually even on monthly billing. Insightly’s US page prints every CRM price as billed annually.
- Where the money goes: HubSpot’s Professional seat buys sequences and 3,000 calling minutes a month. Insightly’s cheaper seat comes with phone support for every user and project delivery.
The View-only Seat matters for a sell-then-deliver firm: an owner who only reads dashboards costs nothing on HubSpot. My HubSpot CRM review judges the rest of the platform on its own.
HubSpot vs Insightly: Features Compared
Insightly CRM covers project delivery on every plan and workflow automation from Professional, while HubSpot Sales Hub gives calling minutes from Starter and adds sequences and forecasting on Professional.

| Workflow automation | Limited: 50 workflows on Starter; 300 on Professional | Professional and Enterprise |

From won deal to delivered project
Yes, Insightly CRM hands a won deal to the delivery team without a second tool, while HubSpot Sales Hub’s plan table stops at the deal. Insightly’s project management page says a closed opportunity converts to a project and copies its records, tasks and details along.
Insightly projects run on pipelines and milestones, and “Native project management” sits on every plan, so the $29 Plus seat already holds it.
A services firm on HubSpot therefore budgets a separate project tool and an integration.
If you want HubSpot next to a CRM built on work management, my HubSpot vs monday CRM comparison sets them side by side.
Verdict: Project delivery
Insightly CRM fits better for teams that deliver projects after the sale, on any plan. The caveat: test the hand-off on your own data in Insightly’s 14-day trial before you commit to a year.
Sales automation and outreach
HubSpot Sales Hub automates selling earlier and deeper. Starter gives up to 50 workflows with restricted triggers and actions and 500 calling minutes, and Professional adds 300 fully customizable workflows, sequences and forecasting.
Sequences on HubSpot Professional allow up to 500 email sends per user per day; Enterprise raises that to 1,000.
Insightly CRM keeps workflow automation, lead assignment and routing, and scheduled outbound emails for Professional. Every Insightly plan includes email templates, automated customized emails, web-to-lead capture and bidirectional email sync.
That makes Insightly Plus a record-keeping plan, not an automation plan. A team that wants rules to move deals or assign leads starts on Professional at $49.
Verdict: Sales automation
HubSpot Sales Hub fits better for outbound-heavy teams on Professional: sequences, 3,000 calling minutes and 300 workflows. Insightly CRM covers rule-based automation on Professional but lists no sequences or calling minutes on its pricing page.
Reporting and forecasting
HubSpot Sales Hub Professional gives a manager forecasting and up to 100 custom reports; Insightly CRM gives configurable reports on every plan and 100 insight cards on Professional. HubSpot’s dashboards grow from 30 on Starter to 75 on Professional.
Insightly’s Plus plan lists advanced reports and pre-built business dashboards, and Insightly lists no forecasting row. A manager who forecasts a sales team’s quarter is better served by HubSpot Professional; one who tracks open projects and pipeline value can stay on Insightly.
Verdict: Reporting
Depends on plan. HubSpot Professional fits a manager who needs forecasting; Insightly fits one who needs pipeline and project dashboards from the first plan.
Marketing on the same platform
HubSpot’s Starter Customer Platform bundles Marketing Hub Starter, with 1,000 marketing contacts, alongside HubSpot Sales Hub Starter. Insightly Marketing is a separate app beside Insightly CRM: Plus costs $99 per account per month, billed annually, for 2,000 prospects.
Insightly Marketing Professional costs $499 for 10,000 prospects. HubSpot counts marketing contacts and Insightly counts prospects, so the two prices are not like for like.
Verdict: Marketing
Depends on list size and on where marketing already runs. A team already in HubSpot keeps one contact record by staying there; a team buying marketing new should price its own list in both units.
Integrations and mobile
HubSpot Sales Hub connects to over 2,000 apps and web services. Insightly CRM connects natively to Google, Microsoft 365, PandaDoc, QuickBooks and Xero on every plan, and charges separately for AppConnect, its no-code integration engine.
AppConnect starts at $249 per account per month, billed annually, for 25,000 tasks, with a required $3,000 technical setup. Insightly says it ships “hundreds of pre-built app connectors”, and Insightly CRM supports AppConnect and webhooks from Professional.
Both vendors list a mobile app. Insightly’s lists business card scanning and voice notes on every plan, which suits field staff who update a project from a site visit.
Verdict: Integrations
Depends on use. If Insightly’s native Google, Microsoft 365 and accounting connectors cover your stack, Insightly needs no add-on; if you need AppConnect, its fee changes the cost math below.
HubSpot vs Insightly Pricing
Insightly CRM costs $29, $49 and $99 per user per month, billed annually, for Plus, Professional and Enterprise. HubSpot Sales Hub costs $7 for Starter as a new-customer offer, $90 for Professional, and from $150 for Enterprise, per seat per month on annual billing.
HubSpot calls the Starter price special pricing for new customers, with select offers available for a limited time.

| Plan tier | HubSpot Sales Hub | Insightly CRM |
|---|---|---|
| Free entry | Free tools: $0, up to 2 users | No free plan listed; 14-day free trial |
| Entry | Starter: $7 per seat per month billed annually; $10 billed monthly (offer; list $20) | Plus: $29 per user per month, billed annually |
| Automation tier | Professional: $90 per seat per month billed annually; $100 billed monthly, annual commitment | Professional: $49 per user per month, billed annually |
| Top tier | Enterprise: starts at $150 per seat per month, Talk to Sales | Enterprise: $99 per user per month, billed annually, Contact sales |
| One-time onboarding | Required: $1,500 on Professional, $3,500 on Enterprise | Guided product onboarding: $1,500, labelled required on Plus, Professional and Enterprise |

Every HubSpot hub and fee is in my HubSpot pricing guide across every hub.
Year-one cost for a 5- and 10-person team
The year-one verdict turns on a conflict on Insightly’s own pricing page. Its add-on table labels “Guided product onboarding –required” at $1,500 and “Premier support and success –required” at 20% of license with a $3,000 annual minimum. The same page’s FAQ says you “can upgrade” to Premier, so I price both readings.
Reading A, onboarding only. Both sides pay $1,500 onboarding, so the gap is the seat price, $90 minus $49 = $41 a seat a month. That is $41 x 5 x 12 = $2,460 at 5 seats and $41 x 10 x 12 = $4,920 at 10, so Insightly Professional is cheaper at both sizes.
Reading B, onboarding plus Premier. 20% of license is $49 x 5 x 12 x 0.2 = $588 at 5 seats and $49 x 10 x 12 x 0.2 = $1,176 at 10, both under the minimum, so Premier adds $3,000 a year.
That $3,000 is more than the 5-seat gap and less than the 10-seat one. HubSpot Professional billed annually is cheaper at 5 seats; Insightly stays cheaper at 10.
| Team | Plan | Billing | Year-one cost |
|---|---|---|---|
| 5 seats | Insightly Professional, onboarding only | Annual | $49 x 5 x 12 = $2,940 plus $1,500 = $4,440 |
| 5 seats | Insightly Professional, onboarding plus Premier | Annual | $49 x 5 x 12 = $2,940 plus $1,500 = $4,440, plus $3,000 = $7,440 |
| 5 seats | HubSpot Sales Hub Professional | Pay Annually | $90 x 5 x 12 = $5,400 plus $1,500 = $6,900 |
| 5 seats | HubSpot Sales Hub Professional | Pay Monthly, annual commitment | $100 x 5 x 12 = $6,000 plus $1,500 = $7,500 |
| 10 seats | Insightly Professional, onboarding only | Annual | $49 x 10 x 12 = $5,880 plus $1,500 = $7,380 |
| 10 seats | Insightly Professional, onboarding plus Premier | Annual | $49 x 10 x 12 = $5,880 plus $1,500 = $7,380, plus $3,000 = $10,380 |
| 10 seats | HubSpot Sales Hub Professional | Pay Annually | $90 x 10 x 12 = $10,800 plus $1,500 = $12,300 |
| 10 seats | HubSpot Sales Hub Professional | Pay Monthly, annual commitment | $100 x 10 x 12 = $12,000 plus $1,500 = $13,500 |
| 5 seats | Insightly Plus, onboarding only | Annual | $29 x 5 x 12 = $1,740 plus $1,500 = $3,240 |
| 5 seats | Insightly Plus, onboarding plus Premier | Annual | $29 x 5 x 12 = $1,740 plus $1,500 = $3,240, plus $3,000 = $6,240 |
| 5 seats | HubSpot Sales Hub Starter, new-customer offer | Pay Annually | $7 x 5 x 12 = $420 |
Sources: HubSpot Sales Hub pricing page, Insightly pricing page, checked Oct 2026. Assumptions: US list prices, every user on the same plan, 12 months; tax, AppConnect, extra HubSpot Credits and marketing products excluded. Premier rows use the $3,000 minimum, since 20% of license is lower at these sizes.
Paying HubSpot monthly adds $10 a seat each month ($100 minus $90) without freeing you from the annual commitment; under Reading B at 5 seats, it puts HubSpot back above Insightly.
Ask Insightly for a written quote that says whether Premier is required on your account: at 5 seats, that line decides which CRM is cheaper.
The entry tier flips the order. At the $20 list price HubSpot prints beside the offer, five Starter seats cost $20 x 5 x 12 = $1,200, below both Insightly Plus rows. Starter, though, lacks the sequences and full workflows that justify HubSpot for an outbound team.
Fees outside the seat price
Beyond onboarding, HubSpot sells extra HubSpot Credits, and Insightly charges for AppConnect and Premier support.
| Fee | HubSpot Sales Hub | Insightly CRM |
|---|---|---|
| Onboarding | $1,500 Professional, $3,500 Enterprise, required, one-time | $1,500 Guided product onboarding, one-time, labelled required on Plus, Professional and Enterprise |
| Usage | Extra HubSpot Credits at $0.010 per credit beyond 500, 3,000 or 5,000 a month | AppConnect from $249 per account per month for 25,000 tasks |
| Setup | Not listed on the Sales Hub pricing page | AppConnect technical setup $3,000, required |
| Premium support | Not listed on the Sales Hub pricing page | Premier support and success: 20% of license, $3,000 minimum annually; labelled required in the add-on table, an upgrade in the FAQ |
Sources: HubSpot Product & Services Catalog, Insightly pricing page, Insightly Premier Support and Success page, checked Oct 2026.
At 5 or 10 seats, AppConnect is the fee that changes the verdict. It costs $249 x 12 = $2,988 plus the $3,000 setup, $5,988 in year one.
That is more than the seat-price gap at either size, so Insightly Professional plus AppConnect costs more than HubSpot Professional at 5 and 10 seats, with or without Premier.
The plan gate you hit first
On Insightly Plus, the first gate is workflow automation; on HubSpot Starter, it is sequences and forecasting; on HubSpot’s free tools, it is the third user.
| Gate | HubSpot Sales Hub | Insightly CRM |
|---|---|---|
| Users on the free entry | 2 on the free tools | No free plan listed |
| Automation | Starter: 50 workflows, restricted triggers and actions | Plus: no complete workflow automation |
| Permissions and fields | Not listed on the Sales Hub pricing page | Plus: 2 role-based permissions, 50 custom fields |
| Outbound | Starter: no sequences or forecasting | Sequences not listed on any plan |
| Pipelines and records | Starter: 15 pipelines per account | Plus: 100,000 records, 25,000 per import |
Sources: HubSpot Sales Hub pricing page, Insightly pricing page, checked Oct 2026.
A sell-then-deliver team that wants a won deal to trigger tasks hits Insightly’s automation gate first, so I would budget Professional from day one. On HubSpot, a team that only logs deals and calls can live on Starter; the jump to $90 a seat comes with the first sequence.
Setup, Onboarding and Customer Support
Insightly CRM gives every user phone and email customer support; HubSpot Sales Hub gives phone support from Professional and email only on Starter, per its Sales Hub FAQ.
Insightly’s onboarding specialists help create custom fields, customize layouts, build workflows and migrate data, per its Premier Support and Success page. That page also calls Guided Onboarding required for Premier Support and Success subscribers.
Basic Insightly support answers email first within 24 business hours and phones 9 a.m. to 4 p.m. PT, Monday to Friday. Premier moves that to 8 business hours and 6 a.m. to 6 p.m.
The pages I read state no setup time, so run one real won deal through HubSpot’s free tools and Insightly’s 14-day trial before you choose.
Security differs for regulated data.
Insightly’s security and compliance page lists a SOC 2 Type II attestation, GDPR terms in its MSA and DPA, and HIPAA compliance as a Business Associate. HubSpot lets Enterprise subscriptions enable Sensitive Data, and PHI under HIPAA is not available in all areas and needs an accepted BAA.
Verdict: Support
Insightly CRM fits better for phone support on the entry plan. HubSpot reserves phone support for Professional, and a health-data team on HubSpot needs Enterprise.
HubSpot vs Insightly: Pros and Cons
HubSpot Sales Hub’s strength is outbound tooling on Professional; Insightly CRM’s is project delivery on every plan.
HubSpot Sales Hub
Pros
- Free tools for up to 2 users, so a founder pair can start at $0
- Sequences, 3,000 calling minutes and forecasting on Professional
- Over 2,000 connected apps against the “hundreds” of connectors Insightly gives for AppConnect
- Starter can be paid month to month
Cons
- No project tool listed on the Sales Hub pricing page, a problem for delivery teams
- Professional is $90 a seat billed annually plus a required $1,500 onboarding
- Starter caps workflows at 50 with restricted triggers
- The $7 Starter price is a limited new-customer offer against $20
Insightly CRM
Pros
- Won opportunities convert to projects on every plan
- Workflow automation and lead routing at $49 per user on Professional, billed annually
- Phone support for every user, Monday to Friday
- 100,000 records even on Plus
Cons
- US prices billed annually, with no monthly price published
- No free plan on the pricing page
- AppConnect costs $249 a month plus a $3,000 required setup
- Plus allows 2 role-based permissions and no complete workflow automation
- Two add-ons labelled required, $1,500 onboarding and Premier support at a $3,000 annual minimum, though the FAQ calls Premier an upgrade
Which Is Better for Your Needs?
If you deliver projects after the sale, pick Insightly CRM; if you sell outbound all day, pick HubSpot Sales Hub.
| Your priority | Better fit | Reason | Trade-off |
|---|---|---|---|
| Run delivery projects after the sale | Insightly CRM | Won opportunities convert to projects on every plan | No sequences listed |
| Outbound sequences and calling | HubSpot Sales Hub | Sequences and 3,000 calling minutes on Professional | $90 seat plus $1,500 onboarding |
| Lowest year-one cost with full workflow automation | Insightly CRM at 10 seats; at 5 seats, depends on Premier | $49 vs $90 per seat on annual billing; Premier’s $3,000 minimum tips 5 seats to HubSpot billed annually | Get Insightly’s written quote; AppConnect reverses the order; HubSpot Starter costs less, $7 x 5 x 12 = $420 for 5 seats on the offer |
| Start free or pay month to month | HubSpot Sales Hub | Free for 2 users; Starter commits monthly | Free tools lack sequences |
| Phone support without a premium plan | Insightly CRM | Phone support for all users | Monday to Friday, 9 to 4 PT |
| Sales forecasting | HubSpot Sales Hub | Forecasting from Professional | Professional price |
| Email marketing on the same CRM | Depends | Marketing contacts vs prospects | Units differ |

An agency, installer or consultancy that bills per project should start with Insightly Professional, and move to HubSpot only if outbound prospecting becomes the main job. A sales-led team that hands delivery to another system is the reverse case: HubSpot Professional earns its seat price there.
A reader who wants HubSpot weighed against a different rival can open HubSpot vs Close.
Skip Insightly CRM if: your reps need sequences or calling minutes, or you cannot commit to a year.
Skip HubSpot Sales Hub if: delivery runs in the CRM and $90 a seat would buy outbound tools nobody uses.
If budget decides and projects do not, my HubSpot vs Zoho CRM comparison sets HubSpot against another budget CRM.
If neither fits, my ranking of the best CRM software for small teams widens the shortlist.
Switching Between HubSpot and Insightly
Records move as files: HubSpot’s import lets you upload a spreadsheet file, and on the Insightly side that includes projects, since its export covers Projects and Project Notes and its linked-record import takes projects too.
From Insightly to HubSpot:
- An Insightly administrator grants export permission; it is not on by default, per Insightly’s Exporting Data guide.
- Export each object to CSV, including Projects and Project Notes; the file arrives by email and the link expires after 30 days.
- Save attachments, events, comments and emails another way: Insightly cannot export them.
- Import into HubSpot with its multi-object import, and decide where projects live, since Sales Hub lists no project tool.
From HubSpot to Insightly:
- A HubSpot user with export permission exports each object from its view in CSV, XLS or XLSX, per HubSpot’s export guide.
- Export calls and notes separately, through contact data, activity reports or the engagements API.
- Import into Insightly: 25,000 records per import on Plus, 50,000 on Professional; one CSV can carry two linked objects, per Insightly’s import and export FAQ.
- Rebuild workflows in Insightly Professional; Insightly’s $1,500 Guided Onboarding brings an Onboarding Specialist who helps with building workflows and migrating data. Insightly CRM’s plans list no sequences feature, while Insightly Marketing, a separate paid product, lists multi-step email sequences in its Journey builder. Decide where each automated email step will run before you cancel the old account.
Insightly matches updates on Record ID, so keep that column when you re-import an edited export. HubSpot’s export links also expire after 30 days, so download them before you cancel either account.
A team moving off Insightly toward a CRM other than HubSpot can see how Zoho CRM vs Insightly plays out.
How I Compared HubSpot and Insightly
I compared both products from their official US pricing pages, plan catalogs and help centers, read on October 21, 2026. HubSpot’s annual prices come from the Pay Annually view of the Sales Hub pricing page, and its monthly prices from the Pay Monthly view.
Plans are paired by the job they do: Starter with Plus as the cheapest paid seats, and Professional with Professional as the first plans with full workflow automation.
The vendors do not publish everything. Insightly gives no integration count beyond “hundreds”; HubSpot gives Enterprise only as a starting price. If a term such as pipeline or CRM record is new, my guide to what a CRM does covers it.
FAQ
Who owns Insightly CRM?
Insightly CRM is part of Unbounce Go-to-Market Solutions. Insightly also lists a native Unbounce integration for landing pages and a new Insightly CRM MCP connector that links the CRM to AI assistants such as Claude and ChatGPT.
Is Insightly a good CRM?
Insightly is a strong fit for small firms that sell and then deliver projects, because projects come with every plan. It is a weaker fit for outbound teams, and a 5-seat buyer should confirm in writing whether Premier support is required. My full Insightly CRM review covers it on its own terms.
Final Verdict: HubSpot or Insightly?
For a US small or mid-size team that sells and then delivers projects, buy Insightly CRM Professional. Pick HubSpot Sales Hub Professional when outbound sequences, calling and forecasting drive revenue, or when marketing already runs on HubSpot.
Choose HubSpot Sales Hub if
- Reps run sequences and calls daily: Professional includes sequences and 3,000 calling minutes
- Managers need forecasting, which starts on Professional
- Marketing already runs in HubSpot and should share the contact record
- You must start free for 2 users or pay Starter month to month
Choose Insightly CRM if
- You deliver projects after the sale and want them in the CRM on any plan
- You want full workflow automation at $49 a seat, not $90: the first year costs less at 10 seats either way, and at 5 seats only without Premier support
- Your team calls support and wants phone access without a premium plan
- You can commit to annual billing
Insightly’s trade-offs are annual billing, no listed sequences and an AppConnect fee that erases its price lead at 5 and 10 seats. If your quote includes Premier support, a 5-seat first year also costs less on HubSpot billed annually. HubSpot’s trade-off is a higher seat price, in exchange for outbound tools.
Should HubSpot stay on your shortlist while Insightly drops off, HubSpot vs Copper is the pairing to read next.
If you are leaving HubSpot for reasons other than projects, my list of other HubSpot alternatives covers the wider field.
